Job Summary
The Business Coordinator provides support for a variety of business functions including but not limited to financial transactions, travel accounting and procurement processes for the areas assigned within the Division of the Chief Information Officer. The coordinator assists the Sr. Business Manager and Sr. Business Administrator to ensure timely and accurate processing of financial transactions in accordance with Institute policies and protocols and monitoring the Portfolio’s Operating Budget to assist in budget forecasting and monthly reporting.
Minimum Qualifications
High School/Equivalent and five (5) years of directly related experience, additional education or training

Job Duties
Use enterprise wide Institute systems (Banner, OBIEE, OSCAR, Concur) and subsidiary systems to assist the Business Manager in preparing monthly and annual financial reports for portfolio leadership.
Assist the Portfolio with student employment coordination by acting as the liaison to the portfolio leadership, administrative staff, students, Payroll, and the Offices of Undergraduate and Graduate Education regarding pay, pay schedules, and Undergraduate Research Project (URP) coordination. Track requests to ensure correct processing.
Prepare and/or review travel reports for portfolio staff. Check for completeness, accuracy, and adherence to Institute and research regulations. Verify funding from requested payment sources. Establish access to new Concur users and provide training as needed.
Process and organize orders through the online shopping software (OSCAR); monitor to ensure accurate orders placed, received and paid; maintain accurate record of purchase/transactions and resolve issues independently when possible; assist in the preparation of required procurement forms; work with the department business administrator to ensure procedures/policies are followed. Assist new OSCAR users.
Perform accounting tasks, including investigates variances and recommends corrective action and regular review and closing of encumbrances. Contacts vendors as needed to resolve backorders and troubleshoot issues.
Adhere to administrative and operational protocols to ensure efficient office operations. This includes recommending process improvement, identifying training needs, and updating policies and procedures.
Perform other duties as assigned.
