The School District of West Allis-West Milwaukee is currently seeking a full-time, 10-month Head School Secretary (Secretary 1) for James E. Dottke PBL High School. This position qualifies for the District benefit's plan which includes health insurance, dental insurance, and optional vision insurance. The District participates in the Wisconsin State Retirement System and has a Wellness Center for it's staff. The hourly rate is $19.50 per hour.
ESSENTIAL JOB FUNCTION:
Record Keeping/Office Management Skills

ESSENTIAL JOB FUNCTION:
Record Keeping/Office Management Skills
- Issue, update, close out and file purchase orders; set up blanket purchase orders.
- Answer phones, greet visitors, applicants and vendors.
- Monitor budget: receive invoices, prepare payment and file record of expenditures.
- Monitor, process and record transactions related to school activity accounts.
- Order/maintain/inventory office supplies.
- Keep daily log of employee absences.
Communication/Interaction Skills
- Must be able to prioritize, handle multiple assignments and manage time so that tasks are accomplished within deadlines.
- Treat every phone call requesting help promptly and courteously.
- Be attentive, pleasant and focused on duties and responsibilities at all times.
- Exercise full discretion when dealing with confidential student and personnel information.
- Make judgments or decisions that are based on an established school procedure/protocol.
- Demonstrate the ability to work independently with minimal direct supervision
- Act as a resource and troubleshooter for administrators.
- Must maintain affirmative attitude and positive demeanor at all times particularly when responding to citizen/parent complaints, school concerns or requests for information.
Student Census
- Maintain accurate enrollment data for all students.
- Process student enrollments and withdrawal/transfer record requests.
- Cooperate with building administrators to prepare enrollment projections.
- Monitor/update daily changes to student records.
- Provide assistance to and be a resource to building staff for maintaining student database.
- Maintain confidentiality.
- Other duties as assigned.
Support to Building Administration
- Ability to communicate effectively, collaboratively and positively with employees, contractors, vendors, students, parents, administrators, board members and public.
- Ability to plan, gather, and organize materials to be used by administration, staff and students, etc.
- Ability to organize, prioritize, and carry out work with minimal direction.
- Ability to use good independent judgment and solve problems sometimes in emergencies or within tight deadlines.
- Demonstrated ability to solve complex problems in a manner consistent with school policies/procedures.
- Ability to work a flexible schedule, when necessary.
- Ability to maintain the confidentiality of District and student matters.
- Ability to provide leadership within context of school office operations.

- Arrives on time to work location as set in schedule.

QUALIFICATIONS:
- High school diploma minimum; two year associate degree, preferred.
- One year of experience with student information software applications (Skyward) preferred.
- Experience in telephone and telephone systems, preferred.
- Experience and demonstrated ability to manage school financial transactions efficiently.
- Experience and skill in producing and editing high quality school flyers and newsletters.
- Experience in utilizing Google Docs.
- High proficiency in Microsoft Office Professional Suite of Applications, required.
- Above average ability to gather, interpret, organize and maintain accurate records .
- Above average oral and written communication skills.
- Above average phone skills.
- Above average technical skills.
- Ability to use good independent judgment and solve problems within time constraints.
- Ability to maintain confidentiality with regard to district communication, reports, and all records.
- Such other qualifications as the administration/supervisor may deem appropriate and suitable for the position.
OTHER DEMONSTRATED QUALITIES:
- Proficiency in verbal/written communication and computational skills.
- Self starter, self-directed, and possess a congenial attitude.
- Willingness to accept supervision and implement district initiatives in support of student learning.
- Able to interact tactfully, effectively and courteously with district staff and outside resources encountered on the job.
- Willingness to staff the position during the hours required or otherwise assigned. This may include a willingness to work flexible hours to accommodate the responsibilities of the position
- Ability to maintain accurate records; assist in the completion and preparation of clear and detailed reports.
- Analytical and problem solving skills to troubleshoot software problems and inquires.
